Portfolio Investments: Recording Valuations
This guide explains how to record and manage investment valuations in Portfolio Investments.
Valuations allow users to update the fair value of portfolio investments as of a specific date. These updates drive reporting metrics such as unrealized gain/loss and support accounting workflows when integrated with arkGL.

Who Can Use This Feature
Ark Client Admin
- Access to all funds within the client
- Can record and manage valuations
Basic Admin
- Access limited to funds on their Fund Team
- Can record and manage valuations where applicable
Fund User Admin
- Read-only access
- Can view valuation data but cannot record or modify valuations
Before You Begin
Before recording valuations:
- The Asset, Security, and Holding (Purchase) must already exist.
- Users should know the valuation date and fair value of the investment being recorded.
What Are Portfolio Valuations?
Portfolio valuations represent the fair value of an investment as of a specific date.
Valuations are used to track changes in investment value over time and support portfolio reporting.
Within Portfolio Investments, valuations occur after the investment structure and transactions have been recorded.
Investment structure hierarchy:
Asset
→ Security
→ Holding / Purchase
→ Investment Transactions
→ Valuations
→ Schedule of Investments (SOI)
Valuations impact key reporting fields such as:
- Total Value
- Value per Share
- Gain/Loss
- Gain/Loss per Share
Portfolio Valuations Page
The Portfolio Valuations page displays the current value of investments across the portfolio.
Users can view valuations at multiple levels of the investment structure, including:
- Asset
- Security
- Lot (Holding)
- Participating entities
Users can expand rows to drill into the investment hierarchy and view underlying entity allocations.
The page includes:
View as of Date
Controls the reporting date displayed in the grid. By default, the page loads using the most recent quarter-end valuation date, but users may change the date to review valuations as of any point in time.
Search
Allows users to search investments by Asset or Security name.
Book Valuation
Opens the valuation entry mode, allowing users to record updated investment values.
Step-by-Step: Record Valuations
Follow these steps to record a valuation.
- Navigate to Portfolio Investments → Portfolio Valuations.
- Select the View as of Date for the valuation.
- Click Book Valuation.
- Expand investments to drill into the desired level of the investment structure.
- Enter valuation values directly in the grid.
- Click Save to record the valuation, or Save & Send to GL to record the valuation and review the proposed Journal Entry(ies) before creating them.
Enter Valuation Values
When booking valuations, users may enter values at different levels of the investment hierarchy.
Valuations can be recorded at:
- Security level (values flow down to underlying lots)
- Lot / Holding level (values roll up to the security level)
Users may update fields such as:
- Total Value
- Value per Share
- Gain/Loss
- Gain/Loss per Share
The system automatically calculates related values based on the information entered.
Save vs Save & Send to GL
When recording valuations, users can choose between two save options.
Save
Stores the valuation within Portfolio Investments without creating journal entries.
This option is useful when valuations are still being reviewed or finalized.
Save & Send to GL
Creates proposed draft Journal Entries in arkGL based on the valuation updates.
After selecting Save & Send to GL, users review the proposed Journal Entry(ies), make any necessary changes, and then create the draft Journal Entries.
Step-by-Step: Review or Edit Valuations
Users can review previously recorded valuations directly from the Portfolio Valuations page.
- Navigate to Portfolio Investments → Portfolio Valuations.
- Select the View as of Date.
- Expand the investment hierarchy to review values.
- Click Book Valuation to update values if needed.
- Save the changes.
If the valuation has already been sent to arkGL, using Save & Send to GL after making changes will update the associated draft Journal Entries or create reversing and replacement Journal Entries if the originals have already been posted.
Step-by-Step: Export Valuation Data
Users can export valuation data for reporting or analysis.
- Navigate to Portfolio Investments → Portfolio Valuations.
- Click Actions.
- Select Export Valuations.
The system generates a downloadable file containing the valuation data currently displayed in the grid.
Users can also export valuation data on the Investment Transactions page as well.
Best Practices
Record valuations using consistent reporting dates, such as monthly or quarterly closes.
Enter valuation values at the most appropriate level of the investment hierarchy to maintain accurate roll-ups.
Review valuation changes and the proposed Journal Entry(ies) carefully before creating draft Journal Entries in arkGL.
