Sending Capital Call Reminders

This guide walks you through how to send automated email reminders to investors with outstanding capital call balances in ark. Reminders are generated from the Cash Receipts page and delivered through the General Mailings tool.

Who Can Use This Feature

Step-by-Step: Sending Capital Call Reminders

1. Navigate to Cash Receipts
   Go to the Banks > Cash Receipts page from the admin portal menu.

2. Select a Capital Call
   Use the dropdown to choose a fund and capital call. A table will populate showing:

   • Capital Called

   • Amount Paid

   • Remaining Due per investor

3. Choose Reminder Recipients

   • Click the Send Reminder Email button to notify all investors with an outstanding balance.

   • You may also select specific investors using the checkboxes before clicking the Remind Selected button.

   • Investors with no balance due will be excluded automatically.

4. Review the Confirmation Prompt
   The system confirms that only unpaid investors will be emailed.

5. Customize Your Reminder Email
   You’ll be redirected to the General Mailing Composer, where a draft is automatically created using the following merge fields:

   • <Investor Name>

   • <Due Date>

   • <Remaining Amount Due>
     Edit and format the message content as needed, then click Save Draft.

Finalizing & Sending via General Mailings

1. Navigate to Mailings > General Mailings.

2. Find your saved draft from the Reminders batch.

3. Click Preview to review the investor-specific messages.

4. When ready, click Send.

   • If any investor has since paid and the Cash Receipts page has been updated, they will be excluded automatically.

Best Practices

• Always update the Cash Receipts before sending reminders.

• Use merge fields to personalize reminder messages without manual edits.

• You can monitor delivery in the Reports > Contact Email Delivery Results Audit report.

FAQ

Q: What if an investor pays after I start drafting the reminder?
A: Update the Cash Receipts and the system will automatically exclude them before sending.
