# Portfolio Investments: Cryptocurrency Transactions

## Set up crypto assets, track wallets with Portfolio Attributes, and record Airdrops, Gas/Transfer Fees, and Transfers in the application.

This guide walks you through recording cryptocurrency holdings in Portfolio Investments, including how wallets are tracked with Portfolio Attributes and how to record the crypto transaction types: Airdrop, Gas/Transfer Fee, and Transfer.

###### **Who Can Use This Feature**

**Ark Client Admin**

- Access to all funds within their client
- Can configure Portfolio Attributes and create and manage crypto transactions

**Basic Admin**

- Access limited to funds on their Fund Team
- Can create and manage crypto transactions where applicable

**Fund User Admin**

- Read-only access
- Can view crypto transactions but cannot create or edit them
- May edit Portfolio Attribute values (including Wallet) if the attribute is configured with "Read Only User Can Edit."

###### **Before You Begin**

Before recording crypto transactions:

- The Asset for the token must already exist (for example, *Ethereum*).
- A Security in the **Equity - Unit Based** security type group must exist under that Asset. Airdrop, Gas/Transfer Fee, and Transfer are available for any Security Type in this group (for example Digital Tokenized, Equity - Common, or Other). The examples in this guide use Digital Tokenized.
- A **Wallet** Portfolio Attribute should be configured on the Portfolio Attributes page (see Step-by-Step: Set Up the Wallet Attribute).
- A holding (Purchase or Airdrop) must exist before you can record a Gas/Transfer Fee or a Transfer.
- Check **Portfolio Investments → Portfolio Attributes** first: if a Wallet attribute already exists for your client, use it rather than creating a second one.
- If you hold tokens that can be locked or unlocked, create a second Security under the same Asset for the locked form (see Step-by-Step: Lock or Unlock Tokens).

###### **What Are Crypto Transactions?**

Portfolio Investments does not have a separate crypto module. A cryptocurrency is recorded with the same investment structure used for every other investment:

Asset *(the token, e.g. Ethereum)*  
→ Security *(the fund's position in the token, any Security Type in the Equity - Unit Based group, e.g. Digital Tokenized)*  
→ Holding / Purchase *(a lot)*  
→ Investment Activity  
• Transactions (Sale, Airdrop, Gas/Transfer Fee, Transfer, Conversion)  
• Valuations  
• *(Optional: Send to GL)*  
→ Schedule of Investments (SOI)

Three crypto transaction types are available under the **Crypto Transactions** section when you select a Transaction Type:

**Airdrop**Tokens received without payment. Creates a new lot at fair market value.

**Gas/Transfer Fee**Tokens spent to pay a network or transfer fee. Reduces a lot and records the fee as an expense.

**Transfer**Tokens moved from one wallet to another. Moves Units to a new lot with no realized gain or loss.

Standard **Purchase - Unit**, **Sale - Unit**, and **Conversion** transactions work for crypto exactly as they do for other unit-based securities. The three crypto transaction types are available for every Security Type in the **Equity - Unit Based** group, not just Digital Tokenized.

**Locking and unlocking** is not a separate transaction type. Locked and unlocked tokens are held as two Securities under the same Asset, and you move between them with a **Conversion** (under Conversions when you select a Transaction Type). See Step-by-Step: Lock or Unlock Tokens.

**Important**

The term **Units** replaces "Shares" throughout Portfolio Investments (tables, modals, SOI, Valuations, exports, and upload templates). Existing equity holdings are unaffected other than the label.

###### **How Wallets Work**

Wallets are **not** a separate record in Portfolio Investments. There is no wallet page and no "Wallet ID" field on any transaction.

Instead, a wallet is the value of a **Portfolio Attribute** on the lot, exactly like any other Portfolio Attribute you track (for example, *Deal Lead* or *Stage*). Your client configures one attribute (typically named *Wallet*), and each lot carries a value such as *Fireblocks Vault 1* or *Coinbase Custody*.

**Where the Wallet value is set**

The Wallet value is entered when a lot is **created**, and nowhere else:

- **Purchase** - select the Wallet in the Optional Portfolio Attributes section of the purchase.
- **Airdrop** - select the Wallet in the Portfolio Attributes section of the airdrop (an airdrop creates a new lot).
- **Transfer** - select the **Destination Wallet**. The Transfer-Out side keeps the source lot's Wallet automatically; the Transfer-In side creates a new lot tagged with the Destination Wallet.

Sales, Gas/Transfer Fees, and Valuations do not change the Wallet; the lot keeps its existing value.

**Viewing wallets on the SOI**

Add the Wallet attribute as a column or grouping in the SOI view, the same way you group by any other Portfolio Attribute. Because every lot carries one Wallet value, the SOI shows holdings per wallet, and a Transfer appears as Units leaving one wallet and appearing in another with no realized gain or loss.

**Important**

Lots created before the Wallet attribute existed appear under a blank Wallet grouping on the SOI. For a lot created by a **Purchase**, open the Purchase with View Details, expand Optional Portfolio Attributes, set the Wallet, and Save. Set the Wallet on Airdrops and Transfers when you create them so every lot carries a value.

###### **Step-by-Step: Set Up the Wallet Attribute**

Follow these steps once per client to enable wallet tracking.

1. Navigate to **Portfolio Investments → Portfolio Attributes**.
2. Check the list for an existing Wallet attribute. If one exists, skip the rest of these steps and use it.
3. Click **New Attribute** (top right). The **Create New Attribute** modal opens.
4. Enter the **Attribute Name** **Wallet**. The system does not require a specific name; this is your convention.
5. Change **Type** from Text to **Dropdown**. A **Dropdown Options** box appears: type each wallet name in *Enter option value* and click **Add Option**, one per wallet (for example, *Fireblocks Vault 1*, *Coinbase Custody*, *Cold Storage - Ledger 1*). A Dropdown keeps wallet names consistent across users.
6. Under **Apply to Entity Types**, select **Holding** so the attribute appears on Purchases, Airdrops, and Transfers. Do not select the Security or Asset entity types for Wallet.
7. Leave **Track this attribute over time** unchecked unless you need dated wallet history.
8. Leave Make Required Field unchecked. A required Holding attribute applies to every Purchase across all Assets, not only cryptocurrency.
9. Click **Create Attribute**.

**Important**

If you use a Text attribute instead of a Dropdown, values are not validated. *Coinbase - ETH* and *Coinbase-ETH* will appear as two different wallets on the SOI.

###### **Step-by-Step: Set Up a Crypto Security**

**Create the Asset**

1. Navigate to **Portfolio Investments → Assets**.
2. Click **Add New → Add New Asset**. The **New Asset** modal opens.
3. Select the **Asset Type** **Cryptocurrency** and enter the **Name** (for example, *Ethereum*). Website and address fields are optional.
4. Click **Save Asset**.

**Create the Security**

1. Navigate to **Portfolio Investments → Securities** and click **Add New → Add Security**.
2. On the **Add New Security** screen, select a Security Type in the **Equity - Unit Based** group. This guide uses **Digital Tokenized** (described as "Blockchain-based representation of traditional securities").
3. Select the **Asset** you just created and enter the **Security Name** (for example, *ETH Token*).
4. The Portfolio Attributes section on this form only lists attributes applied to the Security entity types. Wallet is a Holding attribute, so it does not appear here; you will set it on the Purchase.
5. Click **Create Security**.

**Record the first Purchase (with the Wallet)**

1. Navigate to **Portfolio Investments → Investment Transactions** and click **Add New → New Investment Transaction**.
2. Select **Purchase**.
3. Select the **Asset**, enter the **Transaction Date**, and select the crypto security under **Choose Security**. The modal changes to **Create New Purchase - Unit**.
4. Select the **Participating Entities**.
5. In Entity Allocations, enter the **Cash Amount** paid and the **Units** received (up to 18 decimal places). **Price per Unit** is calculated. Leave Non Cash Amount blank unless applicable.
6. Expand **Optional Portfolio Attributes** (it is collapsed by default) and select the **Wallet**.
7. Click **Save** or **Save & Send to GL**.

The Transaction Currency remains a standard currency (for example, *USD*). Do not use *BTC* or *ETH* as a currency code; the token is identified by the Asset and Security.

###### **Step-by-Step: Record an Airdrop**

Use Airdrop when the fund receives tokens without paying for them. It works like a Purchase, except the fair market value at receipt is recorded as income and becomes the lot's cost.

1. Navigate to **Portfolio Investments → Investment Transactions**.
2. Click **Add New → New Investment Transaction**.
3. Under Crypto Transactions, select **Airdrop**.
4. In Asset & Security, select the Asset and the crypto Security.
5. In Transaction Details, select the **Participating Entities** and enter the **Transaction Date**.
6. In Entity Allocations, enter the **Amount** - the total fair market value of the tokens received on that date (not a price per unit) - and the **Units** received (up to 18 decimal places).
7. Expand the **Portfolio Attributes** section (collapsed by default), select the **Wallet**, and complete any other attributes.
8. Review the Summary and click **Save** or **Save & Send to GL**.

**Result**

- A new lot with its own Lot ID is created every time, even for the same token, entity, and date. An Airdrop never adds Units to an existing lot.
- No cash flow is recorded for performance at receipt, because no capital was invested. The flow is recorded when the lot is later sold.

###### **Step-by-Step: Record a Gas/Transfer Fee**

Use Gas/Transfer Fee when tokens are spent to pay a network (gas) fee or a transfer fee. This works like a small sale of the token: it reduces the lot's Units, cost, and value and records realized gain or loss on the Units spent. The fee is recorded to a gas/transfer fee expense account and is shown separately from Sales in reporting.

1. Navigate to **Portfolio Investments → Investment Transactions**.
2. Click **Add New → New Investment Transaction**.
3. Under Crypto Transactions, select **Gas/Transfer Fee**.
4. The **Create Gas/Transfer Fee Transaction** modal opens. Select the **Asset** and enter the **Gas/Transfer Fee Date**.
5. Choose one **Gas Entry Method**. This decides which single value you will type in Entity Allocations: 
     - **Gas Units** - tokens spent on the fee
     - **Gas %** - percent of the remaining position
     - **Total Gas Value** - fee value at the current mark
6. Use the **Securities**, **Lots**, and **Funds** filters to choose the source lot(s) the tokens were spent from, then click **Apply**. Until you click Apply, Entity Allocations shows "Select filters and click Apply to view entity allocations."
7. In Entity Allocations, enter the value for your chosen entry method on the Security, Lot, or Purchasing Entity row. The other two measures are calculated and shown read-only.
8. Review the Gas/Transfer Fee Summary (Unrealized and Realized Units, Cost, and Value).
9. Click **Save** or **Save & Send to GL**.

**Example**

A lot holds 100 Units with $325,000 cost and $325,000 value. Entering 0.015 Gas Units spends 0.015 Units: Realized Cost $48.75, Realized Value $48.75, no gain or loss. The lot now holds 99.985 Units.

**Important**

A Gas/Transfer Fee reduces the Units and value of the lot under its existing Wallet on the SOI; it does not move the position to a different Wallet - use Transfer for that.

###### **Step-by-Step: Record a Transfer Between Wallets**

Use Transfer to move Units from one wallet to another when nothing was bought or sold. A Transfer has no realized gain or loss and does not change the total cost of the position. The transferred share of cost, value, fees, and performance history moves to the new lot with its original dates, so no new cash flow is recorded on the Transfer Date and fund IRR is unchanged.

You enter the Transfer **once**. The system creates two transactions with the same date: a **Transfer-Out** against the source lot and a **Transfer-In** that opens a new lot with a new Lot ID, carrying the transferred Units, cost, value, fees, and a proportional share of the lot's history. On the Investment Transactions page both rows show the Transaction Type **Transfer**: the row on the original Lot ID is the Transfer-Out, and the row on the new Lot ID is the Transfer-In. Open either row with View Details to see the full detail.

1. Navigate to **Portfolio Investments → Investment Transactions**.
2. Click **Add New → New Investment Transaction**.
3. Under Crypto Transactions, select **Transfer**.
4. The **Create Transfer Transaction** modal opens. Select the **Asset** and enter the **Transfer Date**. This date applies to both the Transfer-Out and the Transfer-In.
5. Select the **Transfer Entry Method**: 
     - **Units to Transfer** - tokens moving out of the source lot
     - **Transfer %** - percent of the Units the source lot still holds (greater than 0%, up to 100%, up to 8 decimal places)
6. Select the **Destination Wallet** - the wallet the Units move into. The list shows the options from your Wallet attribute. You do not choose a source wallet; the form notes that the source wallet is inherited from the lot being transferred out of.
7. Use the **Securities**, **Lots**, and **Funds** filters to choose the source lot, then click **Apply**. Expand the lot row to see its current Wallet; it must be different from the Destination Wallet.
8. In Entity Allocations, enter the Units or percent on the Security row (or on individual lots).
9. Review the Transfer Summary: **Remaining at Source** and **Transferring To** show Units, cost, and value on each side.
10. Click **Save**.

**Example**

Lot LOT00001 holds 100 Units of ETH Token in *Fireblocks Vault 1* at $325,000 cost. Transfer 40 Units to *Coinbase Custody*:

- Source lot LOT00001: 60 Units, $195,000 cost, Wallet unchanged.
- New lot LOT00003: 40 Units, $130,000 cost, Wallet *Coinbase Custody*.
- Realized gain or loss on both sides: none.

**After Saving**

- Two Transfer rows appear in the Investment Transactions table with the same date: one on the source Lot ID and one on the new destination Lot ID.
- Open either row with **View Details** to review the Transfer. Because the two sides are created together from one entry, the simplest way to correct a Transfer is to delete both rows and re-enter it.
- On the SOI, the Transfer appears as Units moving between wallets, never as realized activity.
- Amount, Non-Cash Amount, and Fees do not apply to a Transfer.

###### **Step-by-Step: Lock or Unlock Tokens**

Tokens that are staked, vesting, or otherwise locked are tracked as a **separate Security under the same Asset** - for example, *ETH Token* and *ETH Token - Locked*. Locking or unlocking is recorded as a **Conversion** between the two Securities: convert into the locked Security to lock, and convert back to unlock. Cost, value, and history carry across, and no realized gain or loss is recorded.

Because a Conversion can be partial, you can lock or unlock only part of a position - the rest stays on the source Security.

**Set up the locked Security (once per token)**

1. Navigate to **Portfolio Investments → Securities** and click **Add New → Add Security**.
2. Select the same **Asset** as the unlocked token.
3. Enter a **Security Name** that makes the state clear, for example *ETH Token - Locked*.
4. Choose a **Security Type**. Using the same type as the unlocked Security is recommended so both group together on the SOI, but it is not required.
5. Click **Save**.

**Lock tokens**

1. Navigate to **Portfolio Investments → Investment Transactions**.
2. Click **Add New → New Investment Transaction**.
3. Under Conversions, select **Conversion**.
4. Select the **Asset** and enter the **Conversion Date** (the date the lock-up begins).
5. Use the **Securities**, **Lots**, and **Funds** filters to choose the unlocked lot(s), then click **Apply**.
6. Optionally select the locked Security as the **Default New Security** so it is pre-filled on every row.
7. In Entity Allocations, set the **New Security** to the locked Security, enter the **Conversion %** (100 to lock the whole lot, or a smaller percentage to lock part of it), and enter the **Units** received on the locked Security. For a lock-up this is normally the same number of Units being locked.
8. Leave **Amount** at 0 unless cash changed hands.
9. Click **Save**.

**Unlock tokens**

Record the same Conversion in the opposite direction: filter to the lot on the locked Security, set the **New Security** to the unlocked Security, and enter the Conversion % and Units being released. Vesting schedules are handled by recording one partial Conversion per release date.

**Example**

LOT00001 holds 100 Units of *ETH Token* at $325,000 cost. On 03/01/2026, 60 Units are staked:

- Conversion, Conversion % 60, New Security *ETH Token - Locked*, Units 60.
- LOT00001 keeps 40 Units, $130,000 cost, on *ETH Token*.
- A new lot opens on *ETH Token - Locked* with 60 Units, $195,000 cost, and the original purchase history.

When 30 Units vest on 06/01/2026, record a Conversion on the locked lot with Conversion % 50, New Security *ETH Token*, Units 30. The locked lot keeps 30 Units and a new 30-Unit lot opens on *ETH Token*.

**After Saving**

- On the SOI, the locked and unlocked Securities appear as separate positions, so the locked balance is visible at a glance. Include Security Name and Wallet in your SOI grouping to see the split by security and where each lot is held.
- The Wallet on the source lot carries over to the converted position, so the locked and unlocked positions stay together under the same Wallet on the SOI.
- Gas/Transfer Fees and Transfers can be recorded on the locked Security like any other Equity - Unit Based lot.

###### **Units, Amounts, and Decimal Precision**

Crypto quantities often need more decimal places than other investments. Portfolio Investments accepts the following:

**Units**Up to 18 decimal places. Trailing zeros are trimmed on display; full precision is kept and shown again when you edit.

**Amounts** (cost, value, fees)Up to 6 decimal places on Investment Transactions and Valuations. The SOI rounds to the currency's standard precision (for example, 2 decimal places for USD).

**Percentages** (Transfer %, Gas %, Conversion %)Up to 8 decimal places.

**Important**

- Values with more decimals than allowed are rejected with a validation message, not rounded.
- You are not required to enter all decimals; whole numbers stay whole numbers.
- Leave a field blank if it does not apply. Do not enter 0 for a field the transaction type does not use.

###### **Uploading and Exporting Crypto Transactions**

Crypto **Purchase - Unit** rows are loaded with the **Purchase Template** from the **Add New** menu on Investment Transactions. The template includes one column for each Holding Portfolio Attribute you have configured (for example **Wallet**); enter the value exactly as it appears in the attribute's dropdown options.

**Airdrops**, **Gas/Transfer Fees**, and **Transfers** are loaded with the **Non-Purchase Template** from the same **Add New** menu. Enter the Transaction Type exactly as it appears in the application (**Airdrop**, **Gas and Transfer Fees**, **Transfer**), the **Transaction Date**, and the **Units**. For Gas/Transfer Fees and Transfers, also enter the source **Lot Id**. For Airdrops, enter the **Asset Name**, **Security Name**, **Purchasing Entity**, and **Amount** (the fair market value of the tokens received) instead of a Lot Id, since an Airdrop creates a new lot. After the upload completes, assign the Wallet to each new lot in the application:

1. On Investment Transactions, find the uploaded Airdrop row, or the Transfer row on the **new** Lot ID (the Transfer-In).
2. Click **View Details**, expand **Portfolio Attributes**, and select the **Wallet**.
3. Click **Save**. The lot now appears under that Wallet on the SOI.

**Upload tips**

- **Transaction Type** must match the application exactly: **Airdrop**, **Gas and Transfer Fees**, or **Transfer**.
- **Lot Id** is the full ID shown on Investment Transactions (for example ASSET00001-SEC00001-LOT00003). Leave it blank for an Airdrop.
- **Amount** is used only for Airdrops (total fair market value received). Leave it blank for Gas/Transfer Fees and Transfers.
- **Units** may include up to 18 decimal places. Enter the Units spent (Gas/Transfer Fee) or moved (Transfer) as a positive number.
- **Transaction Date** uses MM/DD/YYYY. Enter dates on or after the lot's Purchase Date.
- Leave every other column blank; do not enter 0 in a column the transaction type does not use.

Gas/Transfer Fees and the Transfer-Out side keep the Wallet of the lot they are recorded against, so no Wallet entry is needed for those rows.

Lock and unlock Conversions can also be uploaded with the Non-Purchase Template: use Transaction Type **Conversions - Conversion**, enter the Conversion % in the **Affected Position %** column, and name the locked or unlocked Security as the New Security. **Export All** and **Export (n)** on the **Actions** menu include the **Units**, **Amount Per Unit**, and **Wallet** columns, so you can review holdings by wallet outside the application.

###### **Viewing Crypto on the SOI and in arkGL**

After saving, confirm the following:

**Investment Transactions table**

- Transaction Type, Lot ID(s), Units at full precision, and the Wallet value on the lot.

**Schedule of Investments (SOI)**

- Open **Grouping**, click **Add Level**, and select **Wallet** (add **Lot** below it to see individual lots). Click **Apply**.
- Each Wallet shows its own Units, Cost, and Fair Market Value under the Security.
- Gas/Transfer Fees reduce the Units of the lot under its existing Wallet.
- Transfers appear only as Units moving between wallets, with no realized gain or loss.

**Valuations**

- Cost and value carry across Transfers unchanged.

**arkGL Journal Entries**

- Airdrop: Debit Investment (at fair market value) / Credit Airdrop Income
- Gas/Transfer Fee: Debit Gas & Transfer Fee Expense / Credit Investment, with realized gain or loss on the difference
- Transfer: cost moves between lots; no gain or loss

Transactions can be saved without sending to GL and sent later using **Send to GL** from the Actions menu.

###### **Best Practices**

- Configure the Wallet attribute **before** recording the first crypto Purchase, so no lots fall under a blank Wallet grouping.
- Use a Dropdown attribute for Wallet so values stay consistent across lots.
- Set the Wallet when you create the Purchase, Airdrop, or Transfer; use Transfer only to move Units between wallets.
- To correct a Transfer, delete both the Transfer-Out and Transfer-In rows and re-enter it.
- Copy and paste full-precision Unit quantities rather than retyping them.
- Name locked Securities consistently (for example "\<Token\> - Locked") so they sort next to the unlocked Security on the SOI and in dropdowns.
